EXECUTIVE ASSISTANT

You will be responsible for providing high-level support to multiple executives within the firm, including, but not limited to, managing schedules, meetings, travel, and expenses. This position requires that you be highly organized, can manage many tasks at once, are not easily overwhelmed, and are comfortable interfacing with all levels of internal management and staff as well as outside clients, vendors, and candidates in a fast-paced environment. The poised and polished Executive Assistant is a culture carrier, maintains and protects highly confidential corporate information, is the first point of contact in person and on calls for executives from internal departments and external clients and works independently with minimal supervision or direction. The Executive Assistant is a trusted and effective partner to the Executive team and a helpful and willing contributor to the administrative team. The Executive Assistant position is based in the Austin, TX office.

DESCRIPTION OF KEY RESPONSIBILITIES – EXECUTIVE ASSISTANT (EA)

  • Manage complex and ever-changing schedules, proactively resolve conflicts before and as they arise, and ensure meetings are set in an efficient manner.
  • Work collaboratively with other EAs for coordination, info sharing, learnings.
  • Coordinate travel for executives supported and, when necessary, members of their team, including air and ground transportation, hotel accommodations, and other reservations as needed.
  • Ensure supported executives are prepared with all materials and information for meeting, events, and travel.
  • Prepare and submit expense reports in a timely fashion, in accordance with company policies.
  • Work closely and effectively with the executive leaders to keep well informed of upcoming commitments and responsibilities, following up appropriately.
  • Anticipate and respond to business needs of executive leaders and their teams; manage activities and interdependencies.
  • Coordinate logistics for in-house meetings for Executives, including reserving internal conference rooms, catering, and ensuring conference room cleanliness.
  • Provide backup coverage for the receptionist during their PTO and breaks, as part of a rotation within the EA team.
  • Provide back-up coverage for fellow EA’s PTO.
  • Execution of special projects related to the aforementioned areas as requested.
  • Perform additional duties as required.

QUALIFICATIONS

  • 5-7+ years of executive administrative support within a fast-paced professional environment. Private equity, investment banking, law firm or professional services experience preferred; C-Suite experience a plus.
  • Proactive and pragmatic, considers all scenarios, gathers all pertinent information before communicating.
  • Executes processes and procedures flawlessly with impeccable attention to detail, follow-up, and excellent organizational skills.
  • Approaches all tasks with a focus on quality, and high level of service and speed.
  • Problem solving skills by initiative; identifies problems and offers solution or resolution on their own.
  • The ability to function with grace under pressure, while managing multiple concurrent projects and deadlines.
  • Resourceful with a strong sense of adaptability and urgency.
  • Strong people skills; focus on customer service and working cooperatively with team members. May be required to support/cover other Assistants as needed.
  • Must possess good judgment, personal tact, and the ability to treat sensitive and confidential information with appropriate discretion.
  • Tech and Web-savvy - Microsoft Office suite (Outlook, Word, Excel, and PowerPoint): Adobe, DocuSign, Concur and/or Salesforce a plus).
  • Excellent written and verbal communication skills.
  • After regular business hours work as required.
  • Bachelor’s degree or relevant experience
